200 Windows servers, 1,600 Office 365 accounts, 200 TB — DraaS ready.

A large Australian organisation retired its hybrid backup footprint across two data centres and moved 200 Windows servers, 1,600 Office 365 accounts, and 200 TB of server data to Backup Experts. We set up a proper DraaS runbook, tested failover, and removed three racks of backup equipment.

The challenge

The organisation was spread across two data centres with 200 Windows servers, 1,600 Office 365 users, and roughly 200 TB of server data. Backups were handled by ageing on-premises infrastructure and a patchwork of licences, with disaster recovery that was documented but rarely tested.

They wanted a single managed service, local data residency, and a DraaS plan that had actually been proven to work under pressure.

The outcome

  • 200 Windows servers protected with daily immutable snapshots
  • 1,600 Office 365 accounts backed up against data loss
  • 200 TB of server data stored in Australian datacenters
  • Proper DraaS runbook with tested failover and site-to-site VPN
  • 3 racks of backup equipment retired across 2 data centres
  • Automated restore verification every two weeks

How the migration ran

  1. 1

    Discovery

We catalogued the 200 Windows servers, 1,600 Office 365 accounts, application dependencies, retention rules, and the backup hardware footprint across both data centres.

  2. 2

    Migrate and seed

Agents were installed on every server and initial seeds were scheduled by tier to avoid saturating production links. Office 365 protection was connected and 200 TB of server data began replicating to Australian datacenters.

  3. 3

    DraaS runbook and test

We built a proper DraaS runbook, spun up the file servers and Active Directory in a separate recovery environment, and connected the office through a site-to-site VPN. The test proved the backups could be recovered when it mattered.

  4. 4

    Decommission and handover

Once all backups were validated, three racks of legacy backup servers, storage, and licences were decommissioned across the two data centres. Automated restore verification now runs every two weeks to confirm recoverability.
